Privacy Policy

MonuMem records meetings, transcribes them, identifies who spoke, and generates notes. This policy explains what we collect, why, and how long we keep it. It covers the MonuMem web application, the Chrome extension, and the API.

What we collect

Voice characteristics

To separate one speaker from another, MonuMem analyses voice characteristics within a recording. This lets the transcript show that one person said one thing and someone else said another.

MonuMem does not currently store persistent voice identifiers. Analysis is used to label speakers within a single meeting and is not retained to recognise anyone in future meetings.

If we introduce persistent voice recognition, we will update this policy before doing so, and a voice identifier will only be created for someone with their permission.

How we use your data

To transcribe meetings, attribute speech to speakers, generate notes, let you search across your meetings, process payment, secure the service, and provide support.

We do not use your meetings, transcripts or notes to train or improve MonuMem's own models or prompts. Your content is processed to deliver the service to you, and for nothing else.

We do not sell personal information.

Who we share it with

How long we keep it

Meetings, transcripts and notes are kept until you delete them. Organisations can set a shorter retention period — 30, 60, 90, 180 or 365 days — which applies to recorded audio and transcripts together. Where no period is set, content is kept until deleted.

Audit logs are kept for 365 days.

Deleting your data

You can delete individual meetings at any time, or delete your account from within the application. Deleting your account removes your profile, meetings, transcripts, notes, speaker records, integrations and API keys.

We keep a non-personal record that a deletion occurred, as proof the request was honoured. It contains no personal information.

Recording and consent

MonuMem records conversations. Laws on recording differ by place, and some require the consent of everyone taking part. You are responsible for obtaining any consent the law requires from everyone in a meeting you record. MonuMem provides features to help you do that; it does not determine what the law requires of you.

Security

Data is encrypted in transit. Access to production systems is restricted. Multi-factor authentication is required on every MonuMem account.

Children

MonuMem is not intended for anyone under 16, and we do not knowingly collect their data.

Changes

We will post changes on this page and update the version above. Where changes are material we will notify you in the application.
